Admin - Setting up and Using Cercli's Slackbot

Overview

The Cercli Slackbot brings time off management directly into Slack, allowing managers to approve requests and teams to stay informed about who is away - without leaving their day-to-day workflow.


Before You Begin

Ensure the following are in place before installing the Slackbot:

  • All team members are onboarded to Cercli using their workspace email address.

  • All team members have an assigned manager in Cercli to review and approve time off requests.

  • You have Slack workspace admin permissions - these are required to install the Slack app.


How to Install the Cercli Slackbot

  1. Click the installation link provided by your Cercli admin and follow the on-screen prompts.

  2. During setup, you will be asked to select a Slack channel for Slackbot alerts. This is the channel where general notifications will be shared, such as who is currently on leave.

  3. You can select an existing channel or create a new one specifically for Cercli alerts.

Note: The selected channel is for general alerts only. Pending time off requests are sent directly to the requestor's manager via a private Slack message — they will not appear in the shared channel.


Configuring Your Notifications Channel

  1. Navigate to the Slack channel you want to use for Cercli alerts.

  2. Verify that the Cercli Slackbot is a member of that channel. If it is not, add it by typing @Cercli in the channel.

  3. Type and send the command /cercli help to display the full menu of available settings and commands.


Time Off Notifications

Setting Up Time Off Notifications

  1. In your designated notifications channel, enter the command: @Cercli setup list timeoff

  2. The Slackbot will respond with a settings interface. Select:

    • The time of day you want notifications to be sent.

    • The days of the week you want them to appear.

  3. Click Submit to save your preferences.

Once configured, the channel will receive a daily digest showing which team members are on leave that day. These preferences can be updated at any time by repeating the command.

Showing Who Is Currently on Leave

To display who is out of office at any point, use the command:

@Cercli setup ooo list

Disabling Time Off Notifications

To turn off time off notifications in a channel, use either of the following commands:

@Cercli disable list timeoff

@Cercli disable ooo list

To receive upcoming birthday alerts in a channel, use the command:

@Cercli setup people upcoming birthdays

Disabling Birthday Notifications

To turn off birthday notifications, use the command:

Where will I see my team's time off requests?

All time off requests are visible both in Cercli's Time off module and directly in Slack.

Who approves time off requests?

Each team member's request is sent to their direct manager — as designated in Cercli — for approval via a private Slack message.
