Manage Departments, Divisions & Job Titles
Last updated: September 1, 2026
Role: Admin / HR
Module: Settings → Organization structure
What you'll do: Create, edit, and remove the departments, divisions, and job titles your people are assigned to.
When you'd do this
Use this when you're setting up your company's structure or keeping it current — adding a new department, renaming a division, or introducing a new job title and level.
Before you start
You need access to the Organization structure settings.
Know the exact names you want to use, since each must be unique.
Steps
Open Settings and go to Organization structure.
To add a department or division, choose Create, enter a name and optional description, and save.
To add a job title, choose Create, enter the title name and its level (for example, "1" or "2"), and save. The same title can exist at different levels.
To rename an existing item, open it, edit the name or details, and save.
To remove an item, choose Delete on it.
What happens next
New departments, divisions, and job titles become available straight away when assigning people.
Every create, edit, and delete is recorded in the activity history so you can see who changed what.
Tips & gotchas
Names are matched without regard to upper/lower case and extra spaces, so "Sales" and "sales" count as the same.
A job title is identified by its name and level together — you can have "Engineer" at level 1 and "Engineer" at level 2.
A job title level can only use letters, numbers, hyphens, and slashes.
Troubleshooting
A "name must be unique" message means an item with that name already exists — choose a different name.
You can't delete a department, division, or job title that's still assigned to someone. Reassign those people first, then delete.
If you can't open Organization structure, ask your admin to confirm your access.
